Reusable Tools & Templates Hub (Index)

A practical index of ready-to-use templates, each with a short purpose note, a clear example, and quick adoption tips. Use these to run better meetings, hire more consistently, make clearer decisions, experiment faster, and keep simple trackers that support continuous improvement.

Welcome — Fast, repeatable tools for everyday leadership work

This hub collects compact, battle-tested templates teams actually use: hiring scorecards, 1:1 agendas, decision records, RACI charts, feedback scripts, experiment briefs, and lightweight trackers. Each item explains when to use it, shows a short example, and gives quick adaptation advice so you can copy, tailor, and start using immediately.

How to use this hub

  1. Pick the template that matches the activity you want to improve.
  2. Copy it into your team space (document, shared drive, or THE domain copy) and adapt one or two fields to local language.
  3. Run one pilot use (one interview, one 1:1, one decision) and note what changed.
  4. Iterate with your team: keep what helps, simplify what doesn’t.

Indexed templates (what's included)

  • Hiring scorecard

Purpose: Make candidate evaluation objective and comparable across interviewers.

Example criteria: Role skills (1–5), Cultural fit (1–5), Problem solving (1–5), Recommendation (Hire / Hold / No). Short usage note: Share the scorecard with interviewers before interviews; average scores and capture a one-sentence rationale.

  • 1:1 agenda

Purpose: Keep regular coaching conversations focused and reciprocal.

Example sections: Check-in (2 min), Priorities & progress (10 min), Roadblocks & support (10 min), Coaching topic (10 min), Commitments (3 min). Usage note: Invite the direct report to set at least one agenda item before the meeting.

  • Decision record

Purpose: Capture choices and rationale so teams learn and reduce rework.

Example fields: Decision title; Date; Owner; Alternatives considered; Chosen option; Rationale; Key assumptions; Next review date. Usage note: Use for decisions that affect multiple people or resources.

  • RACI template

Purpose: Clarify roles and handoffs for a process or deliverable.

Example usage: List activities in rows and stakeholders in columns, mark R/A/C/I for each activity. Usage note: Keep the matrix small; discuss differences in a short alignment meeting rather than email.

  • Feedback script

Purpose: Help people give focused, psychologically safe feedback that leads to change.

Start: "I want to share an observation about [situation]." Observation (facts), Impact (what happened), Request (specific change). Example: "In yesterday's demo, the roadmap slide skipped several Q&A items. When that happens the team is left unclear on next steps. Could you include a 3-minute Q&A checkpoint in future demos?"

Usage note: Use scripts as prompts — personalize language to keep authenticity.

  • Experiment brief

Purpose: Rapidly prototype ideas with clear hypotheses and measures.

Example fields: Hypothesis, Success metrics, Experiment steps, Duration, Owner, Risks. Usage note: Keep experiments small and time-boxed (1–4 weeks) and record outcomes in the decision record.

  • Simple trackers

Purpose: Lightweight records for actions, risks, or recurring measures.

Examples: Meeting action tracker (owner, action, due date, status), Weekly risk watch (risk, likelihood, mitigation owner). Usage note: Use a tracker when information needs to be visible between meetings; archive rows when completed to keep the view useful.

Starter examples (copy-and-paste-ready snippets)

Decision record (short)

Decision: Choose primary analytics tool
Owner: Alex
Alternatives: Tool A (low cost), Tool B (integrates w/ ops), Tool C (best UI)
Choice: Tool B — chosen because it reduces integration work and supports existing dashboards.
Review: 6 months after deployment.

One-question experiment brief

Hypothesis: Shorter meeting agendas (≤30 min) increase attendance and on-time starts.
Metric: % on-time starts, attendance rate over 4 weeks.
Steps: Run 30-min agenda for two recurring meetings; record metrics; survey participants at week 4.
Owner: Priya.

Adaptation tips

  • Start minimal: remove any field you don't expect teams to actually fill.
  • Localize language: replace jargon with team terms so adoption feels natural.
  • Assign an owner when piloting a template; someone should be responsible for maintaining it.
  • Link related artifacts: e.g., link decision records to experiment briefs and trackers for end-to-end traceability.

Quick adoption checklist

  1. Choose one template and name a pilot owner.
  2. Adapt two fields to suit your team vocabulary.
  3. Use it in a live situation within one week.
  4. Collect one improvement idea from users and apply it.

Next steps & platform opportunities

This index is intentionally compact so teams can copy and tailor quickly. Where useful, consider these enhancements:

  • Create interactive versions of templates (forms) so submissions are saved and searchable.
  • Bundle related templates into a role-based toolkit (e.g., People Ops Hiring Toolkit, Team Lead Meeting Toolkit) that teams can acquire and own.
  • Link templates to trackers, decision records, and experiment outcomes to build living organizational memory and reduce repeated debates.

If you want, start by copying one template into your team space and invite two colleagues to try it. Small, consistent changes are what build dependable practice.
