Template details, facilitator notes & timeboxes
Empathy Map
Purpose: Quickly form a shared understanding of a user or stakeholder. Suggested timebox: 20–35 minutes.
Facilitator script: "Take 5 minutes to add sticky notes about what this person says, thinks, does, and feels. Write one idea per sticky. We'll cluster similar notes and look for surprises."
Outcome: Shared insights and hypothesis areas for follow-up research or design experiments.
Timeline
Purpose: Create a sequence of events for customer journeys, project milestones, or incident reviews. Suggested timebox: 30–50 minutes.
Facilitator script: "Start by adding key events along the timeline. Then annotate points that caused friction or opportunity. We'll identify the three most important moments to act on."
Outcome: Agreed critical moments and candidate interventions.
Stakeholder Map
Purpose: Clarify who matters most and how to engage them. Suggested timebox: 15–30 minutes.
Facilitator script: "Add stakeholders, place them by interest and influence. Discuss who can help unblock progress and who needs convincing. Assign engagement approaches."
Outcome: Mapped priorities for communication and influence plans.
Decision Tree
Purpose: Make complex choices visible and test assumptions. Suggested timebox: 25–45 minutes.
Facilitator script: "List options as branches, add consequences and criteria. Use this to surface risks and to generate lightweight decision checks."
Outcome: Clear options with visible tradeoffs to guide selection and accountability.
Clustered Affinity Wall
Purpose: Synthesize large idea sets into themes. Suggested timebox: 30–60 minutes depending on volume.
Facilitator script: "Individually add ideas for 5–10 minutes. Then silently group similar notes for 10 minutes. Discuss clusters and name the themes."
Outcome: Prioritized themes and a shorter list of candidate actions.
Dot-Voting Boards
Purpose: Fast prioritization that preserves transparency. Suggested timebox: 10–20 minutes.
Facilitator script: "You have X dots. Vote for ideas you think will have the biggest impact. After voting, explain one vote to the group."
Outcome: Ranked ideas and an explicit list of next steps owners.
Sketch guides & visual tips
Each template includes a simple sketch guide that shows how to arrange the canvas, where to place prompts, and examples of good sticky notes. Visual hierarchy tips: use clear headings, group items tightly, leave white space between clusters, and use color for role or theme encoding (not for exclusive meaning).
Adaptations for remote, hybrid, and in-person
- Remote: Use short written rounds (silent brainstorming) to include quieter participants. Use timers and callouts to keep momentum.
- Hybrid: Run the whiteboard as the single source of truth. Ask an in-room facilitator to read remote contributions aloud when needed.
- In-person (physical): Print templates as A3 sheets or mark zones on a wall. Provide stickers for dot voting and large sticky notes for clustering.
Inclusion & accessibility notes
- Provide multiple input methods: text, voice (transcribed), or facilitator scribing for those who prefer to speak.
- Avoid color-only coding; add icons or labels as well.
- Give extra time for people with different processing speeds and offer a brief orientation to any tool you use.
Common pitfalls & fixes
- Too much discussion during idea generation — enforce a silent ideation phase.
- Domination by a few voices — use structured rounds and anonymous stickies if needed.
- No clear next steps — always finish with ownership markers and due dates on the dot-voting board.

How to import and customize (quick)
