AI & Automation Use Case Prioritization Canvas (Interactive)

An interactive canvas to evaluate, score, and prioritize AI and automation pilots using dimensions for value, feasibility, data readiness, risk, integration complexity, and change management. Includes fields for required inputs, default weighting guidance, and a recommended go/no-go decision field to capture outcomes.

AI & Automation Use Case Prioritization Canvas

Use this canvas before launching an AI or automation pilot.

Capture the problem, estimate value, score feasibility and risk, and record the essential data and change-management dependencies. A simple weighted scoring approach is suggested below — you can accept the default weights or change them to match your organization’s priorities.

Suggested scoring: use scales 1 (low) to 5 (high). Typical default weights: Value 0.40, Feasibility 0.25, Data Readiness 0.15, Risk (inverted) 0.10, Change Management 0.10. To compute a priority score manually: multiply each dimension score by its chosen weight, invert Risk (i.e., use 6 - riskScore so that lower risk becomes higher value), then sum the weighted values. Enter the resulting priority (0–5) in the Calculated Priority field.

Describe the operational problem, the affected process or customer impact, and who is affected. Be specific about outcomes.
Describe the expected business benefit (e.g., cost reduction, time saved, accuracy improvement, safety). Quantify when possible (annual $ or hours saved).
Numeric estimate of annual benefit (enter an amount or hours). Optional but helps prioritize.
How valuable is this use case to the business? Consider financial, customer, safety, compliance, and strategic value.
1.0 10.0
Is the data required available, accessible, and of sufficient quality? 1 = no usable data, 5 = readily available, clean, labeled data.
1.0 10.0
List data sources, owners, sample sizes, known quality issues, and any labeling or preprocessing needs.
How complex is integrating this pilot with existing systems and workflows? 1 = trivial, 5 = very complex.
1.0 10.0
Systems affected, APIs or middleware needed, expected engineering effort, and dependencies.
What level of human oversight is required during pilot and production?
Assess potential harms from model failure (operational, safety, privacy, compliance).
Identify applicable regulations, certifications, approvals, or safety reviews required.
Define 2–4 measurable metrics that will indicate pilot success (with target thresholds).
Typical duration to get a working pilot (weeks).
Rough estimate of implementation cost for the pilot.
How difficult will adoption be for operators and stakeholders? 1 = easy, 5 = very hard.
1.0 10.0
Training, role changes, communications, and stakeholder effort required.
Default 0.40. Adjust weights so their sum equals 1.0 if you change them.
Default 0.25. Feasibility typically combines integration complexity and data readiness.
Default 0.15.
Default 0.10. Risk is inverted when calculating priority so that lower risk increases priority.
Default 0.10.
Enter the weighted-priority score after calculation (or paste a computed value). High values indicate higher priority for piloting.
