Shift scheduling template with demand overlay

Use this interactive scheduling worksheet to capture your hourly demand forecast, stations and skills required, shift templates, and labor guardrails in one place. The form saves structured inputs so you can share them with managers, request a schedule proposal, export to payroll/roster tools, or store them for later comparison with actuals. Tips: paste hourly forecasts as CSV (hour, covers) or enter one hour per line; list stations and minimum coverage with skill tags so shift proposals place the right people in the right roles.

This worksheet intentionally collects data rather than making final assignments. Collected submissions can power an automated schedule proposal, be reviewed by a manager, or be exported to payroll and POS-integrated forecasting tools.

Name of site, restaurant, or unit (useful when copied across locations).
Enter a date (YYYY-MM-DD) or a week range (e.g. 2026-09-13 to 2026-09-19).
Enter one hour per line as HH:MM, Covers. Example: 07:00, 12 08:00, 18 09:00, 34. You may paste from a CSV export of your POS forecast.
One station per line: StationName | SkillTags (comma-separated) | MinStaff. Example: Expo | expeditor,communicator | 1 Grill | linecook,hot | 2
Define common shifts so proposals can use them. Format: TemplateName | Start-End | TypicalRoles. Example: Morning | 06:00-14:00 | Expo, Grill, Fry. Include 'Custom' if needed.
Absolute minimum number of staff to run the shift safely (overrides demand-based calculations when necessary).
Set a maximum number of overtime hours allowed per employee during this schedule period. Leave blank to use default policy.
Enter a target labor cost or percentage for the period to help guide trade-offs between coverage and cost. Specify units in the notes if using %.
List employees who can be scheduled this period. Use: Name | Roles (comma) | SkillTags | MaxHoursAvailable. Example: Alex | server | friendly, upsell | 30
Paste or create a short checklist teams should follow when someone calls off. Example items: 1) Check on-call list, 2) Offer double-time, 3) Ask cross-trained staff to cover station, 4) Notify manager and update schedule. Use numbered or bullet lines.
How will you notify staff of schedule updates?
If Yes, the saved worksheet is flagged so a manager or scheduling agent can generate a proposed shift assignment that matches demand and your station rules.
Use this field to capture temporary constraints, special events, expected no-shows, or other context that affects staffing decisions.
