Daily KPI Huddle Script & Dashboard Cards

A short, repeatable huddle script with timed agenda, suggested KPIs for common shift types, a one-page dashboard card layout you can reproduce, and ready-to-use action templates that assign owners, deadlines, and verification steps to fix the day’s top issues.

Purpose: Fast, action-focused daily huddles

Keep the huddle under 10 minutes. Align the team on the day’s priorities and risks using a small set of frontline KPIs, agree on immediate actions, and record who owns verification. The goal is measurable, time-boxed responses that change the shift outcome.

Time-boxed agenda (7–10 minutes)

  1. Welcome & focus (30s) — facilitator names the one or two core goals for today (e.g., speed during lunch, reduce waste during dinner).
  2. Top 3 metrics & status (2–3 min) — quick read of chosen dashboard cards (current vs target; color-coded).
  3. Risks & hotspots (1–2 min) — team flags immediate issues (equipment, staff shortages, supply gaps, bookings).
  4. Actions (2–3 min) — assign clear owners, deadlines, and verification steps using the Action Template below.
  5. Readback & close (30s) — repeat owners and deadlines; facilitator confirms follow-up time/location if needed.

Roles

  • Facilitator — keeps the huddle short, reads KPI cards, calls for issues, assigns actions.
  • Note-taker — records actions and verification steps (this can be the manager on duty or a rotating shift lead).
  • Owners — staff assigned to resolve specific issues and verify outcomes.

Suggested KPI sets (choose 3–5 each shift)

Breakfast / Quick-serve shifts

  • Ticket time (order to pick-up) — target & threshold
  • Order accuracy (%)
  • Average covers per hour
  • Hot-hold / temp control alerts

Lunch / High-turn shifts

  • Ticket time / ticket backlog
  • Remakes / waste events (count)
  • Table/seat utilization or covers per server
  • POS voids / comps (count & reason)

Dinner / Full-service shifts

  • Ticket time and longest ticket age
  • Guest satisfaction indicators (quick feedback, # complaints)
  • Average check / upsell conversion
  • Food cost alerts or low-stock items affecting specials

All shifts — safety & compliance

  • Critical food-safety checks completed (yes/no)
  • Open equipment or maintenance alerts

One‑page dashboard card design (reproducible)

Each card is a compact unit shown on the wall tablet or POS manager screen. Use consistent layout so teams scan quickly.

  • Title — metric name (e.g., Ticket Time)
  • Value — current numeric value
  • Target — goal or acceptable range
  • Trend — up/down sparkline or simple ▲/▼
  • Status color — green/amber/red using agreed thresholds
  • Quick action — 1-line recommended action if metric is amber or red

Example: Ticket Time — 9:30 (Target < 10:00) — Green — Action: keep expo paired with server #3.

Action Template (use every time you assign work)

Record actions in this simple format so nothing slips away.

  • Issue / Metric: (short) — e.g., 'Ticket time 12:15, backlog 8 tickets'
  • Action: (clear step) — e.g., 'Assign extra expeditor to line; hold appetizers for 2 tickets'
  • Owner: (name / role) — e.g., 'Line lead Maria'
  • By When: (time or condition) — e.g., 'Within 8 minutes / by 12:20'
  • Verification: (how we know it's fixed) — e.g., 'Ticket backlog < 3 for 5 minutes; Maria confirms'
  • Follow-up record: note outcome at next huddle or shift report

Quick script — what the facilitator says

Keep it direct and actionable. Examples:

  • "Today’s focus: keep lunch ticket time under 10 minutes and reduce remakes. Quick status on three cards: ticket time, remakes, and voids."
  • "Ticket time is red at 12:05 with an 8-ticket backlog. Who can own clearing backlog and by when?"
  • "Assigned: Marcus will step in as expeditor and hold appetizers for 10 minutes; verify backlog < 3. Marcus, confirm when done."

Escalation & handoff

If an issue cannot be resolved in-shift (sustained red, safety risk, or supply outage), escalate to the manager on duty and record an incident note for the day’s log. Handoff to the next shift by including unresolved actions in the shift report and next huddle’s top items.

Common mistakes to avoid

  • Discussing everything — keep to the chosen KPIs and one or two issues only.
  • Assigning vague actions — always include owner, deadline, and verification.
  • Letting the huddle run long — use a visible timer and a firm facilitator.
