Weekly Ops Huddle — Agenda & Improvement Tracker

Purpose

Use this structured weekly huddle to review key metrics, escalate and solve systemic issues, and resource experiments that sustain improvements. The goal is to keep improvements alive by assigning clear owners, deadlines, and measurable outcomes.

Suggested timing and roles

Duration: 45–60 minutes. Facilitator: manager or shift lead. Note-taker: rotates. Attendees: managers/supervisors representing front and back of house, purchasing or inventory lead when relevant.

Time-boxed agenda (suggested)

  • Opening & metrics review — about 10 minutes
  • Prior actions & experiments review — about 10 minutes
  • Escalated issues + focused problem solving — 20–25 minutes
  • Decisions, resourcing, and owners — 5–10 minutes

How to use this form

Fill the data pack metrics before the meeting so the team can spend time solving, not hunting for numbers. Limit deep problem solving to the top 1–2 systemic issues. Use the 5 Whys to expose root causes, and capture concrete countermeasures with owners and due dates. Track experiments as time-boxed tests with measurable outcomes and review results weekly.

Facilitation tips

  • Start on time and protect the agenda. Keep problems scoped to systemic issues, not single-incident complaints.
  • Record only the key facts and decisions — details belong in follow-up actions.
  • Make a clear ask when you need resources or approvals; note who will follow up.
