Integration Mapping & Vendor Evaluation

Why this matters: Integrations reduce manual work but can introduce data gaps, latency, and security risk if not specified clearly. Use this form to capture a complete integration mapping, set clear operational expectations, and record vendor due-diligence so decisions and handoffs are consistent.

Fill one form per integration pairing (for example: POS & Inventory system, POS & Kitchen Display, Online Ordering & POS). You can copy and tailor entries for each vendor or deployment.

Short descriptive name (e.g., POS ⇄ Inventory, OnlineOrdering → POS).
Choose the primary data domain this integration supports.
System producing the data or event (vendor + product name).
System receiving or synchronizing data.
Vendor name and contact info or account owner.
Vendor name and contact info or account owner.
List the key fields that must flow (e.g., order_id, menu_item_id, price, modifiers, qty, timestamp, location_id).
Use this checklist to ensure you don't miss common required fields.
Rate how confident you are that the required fields map cleanly between systems.
Enter maximum acceptable latency in milliseconds for critical events. Leave blank if not applicable.
Example: 99.5
Select applicable security and compliance requirements.
Is documentation available and up-to-date? Is there a sandbox for testing?
Describe rate limits or quotas and how you will handle them.
Describe vendor support hours, response times, and escalation path.
Record known recent incidents, length of outages, and vendor remediation.
Consider data sensitivity, business impact, and vendor reliability.
List concrete tests (end-to-end order flow, reconciliation targets, latency tests).
Person or role responsible for delivery and ongoing support.
Use YYYY-MM-DD or 'TBD'.
Any other relevant context, constraints, or follow-up actions.
