Frontline Coaching — Micro‑Observation Card

Purpose: Make on‑shift coaching quick, specific, and consistent. Use this single‑page card to capture a short factual observation, deliver focused feedback, and create a concrete follow‑up so skills improve shift by shift.

How to use

  1. Observe one skill or behavior for a short period (1–5 minutes).
  2. Record facts only in Observation Notes (what you saw/heard).
  3. Give immediate brief feedback using the suggested phrases or your own wording.
  4. Agree a short 1–3 step reinforcement plan with owner and target dates.
  5. Check back on the target date and record the result.

Coaching — Short script ideas

Pick a phrase that fits and say it calmly. Keep it short and focused on the behavior.

  • Observe & affirm: "I noticed how you greeted that table — great energy, thank you."
  • Prompt & teach: "When guests ask about allergies, ask 'Can you tell me which allergen you're avoiding?' That helps us be safe."
  • Correct & show: "I noticed the plate left with sauce on the rim. Try wiping the rim with a towel before sending—watch me once."
  • Ask & involve: "What do you think went well there? What might you try next time?"
  • Reinforce & set expectation: "Let's aim to get that ticket time under X minutes for the next three shifts. I'll check in on [date]."

Tips for managers (quick)

  • Keep observations short and frequent — a short micro‑observation is less threatening than a long evaluation.
  • Focus on one behavior at a time so coaching is clear and actionable.
  • Always end with a concrete next step and a target date.
  • Capture the observation on the card (or in your system) so progress can be followed up and aggregated across shifts.
  • Use positive framing when possible — people change faster when they know what to keep doing as well as what to change.

This card is part of the Frontline Coaching & Shift‑Leader Tools collection. Consider converting this card into an interactive observation form so managers can save observations, track follow‑ups, and roll up trends across locations.
