Daily & Weekly Production Prep Schedule

Use this interactive template to map prep tasks to kitchen stations, assign quantities by daypart, set hold times, and capture storage and FIFO rules. You can paste multiple rows into the Prep Matrix using the example CSV format below. Save the schedule to store a copy that your team can review and iterate.

CSV / Tab-delimited row format (one row per prep line):
Station,Task,Daypart,Qty,HoldTime (hrs),Storage Location,FIFO Label

Example: Grill,Pre-cook burger patties,Lunch,50,4,Walk-in bin,A-2026

Person or role responsible for maintaining this schedule (e.g., Kitchen Manager).
How often the schedule should be reviewed or adjusted.
List the dayparts your operation uses (one per line). Example: Breakfast, Lunch, Dinner, Late-Night.
Required. Paste rows with columns: Station, Task, Daypart, Qty, HoldTime (hrs), Storage Location, FIFO Label. Use this field for bulk entry or to copy/paste from spreadsheets.
Describe must-do items each station must complete before service (one per line). This becomes the day-starter checklist used on every shift.
Optional. List par levels in a simple format that matches your dayparts. Example: Burger Patty — Breakfast:40 / Lunch:60 / Dinner:30
Which prepped items can be used across multiple dishes or stations to reduce waste? Be specific about limits or substitutions.
Describe batch sizes, cook windows, and sequencing so the line stays supplied without overproduction.
Define operational triggers to start rapid replenishment (e.g., bin reaches 25% of par, ticket times exceed X minutes). Include who is notified and how.
Recommended labeling format and FIFO rules to prevent spoilage. Example label: Item — Prep Date — Hold Time — Batch ID.
List per-item maximum hold times and what to do when times are exceeded (rework, discard, reheat limits).
Critical safety checks related to preparation and holding (temperatures, cooling times, monitoring checkpoints).
