Recipe Version Control & Change Log

Use this template to capture a complete, traceable recipe version: ingredients (with supplier and SKU), yields and portions, step-by-step prep, HACCP and allergen notes, cost inputs, a change log, test-plan items, approval fields, and launch communication guidance. When possible, keep every new recipe version documented here so quality and cost don't drift as teams change.

Give the recipe a clear name used on prep lists and menus (avoid ambiguous abbreviations).
An internal code to match POS/menu systems or inventory items.
Example: v1.0, v1.1 (increment when a meaningful change is made).
Date this version goes into effect (YYYY-MM-DD).
Person who created or submitted this version.
Which kitchens or stations should use this version (leave blank if universal).
Total produced quantity in units (e.g., grams, liters, pieces).
Example: 150 g plated portion, 1 sandwich.
Calculated or estimated number of portions this batch yields.
Enter one ingredient per line in this CSV format: quantity, unit, ingredient name,supplier,SKU,cost_per_unit Example line: 2,kg,boneless chicken,Acme Foods,CH123,6.50 This makes it easy to paste into spreadsheets or parse later.
If you calculate total cost externally, enter it here (currency). If you want auto-calculation in future, see capability notes below.
Total batch cost ÷ portions per batch. Enter the resulting cost per portion.
List common allergens and any special handling notes (e.g., may contain traces of nuts).
Write steps that a competent cook can follow; include times, temperatures, and critical control points.
List any specialized equipment required (e.g., combi oven, immersion blender).
Cold/hot hold temps and maximum safe storage times.
Photo references, garnish placement, portion photos or links.
Identify where monitoring is required and what to do if a control is out of limits.
Tick items completed during testing before approval.
Current lifecycle state of this recipe version.
Name and role of approver (when approved).
Date approved (YYYY-MM-DD).
Record changes in this format: date | who | summary of change | reason | estimated impact | roll-out notes. Example: 2026-08-01 | J. Lee | Increased portion weight by 10g | customer feedback | +$0.12 per portion | Communicate to all chefs on 2026-08-03
How will this version be communicated and trained? Include shift demos, photos, tasting, and date when changes go live.
Comma-separated tags (e.g., lunch, vegan, low-cost).
Add links to photos, spreadsheets, supplier spec sheets, or internal documents.
