Cycle Count Sheet & Frequency Planner

Interactive cycle-count planner and ready-to-print count sheet. Includes sampling rules for high/medium/low velocity SKUs, a frequency planner based on SKU velocity and value, a CSV-friendly batch count input for recording counted SKUs, reconciliation prompts, and variance investigation fields so teams can plan, record, and follow up on cycle counts.

Cycle Count Sheet & Frequency Planner

Use this worksheet to plan and run targeted cycle counts

This interactive worksheet helps you decide which SKUs to count, how often to count them, and gives a simple way to record count batches. It favors targeted cycle counting (high-value and high-velocity SKUs more often) over full physical inventories. Follow the three steps below:

  1. Plan: set sampling percentages and choose a frequency mapping for high/medium/low SKUs.
  2. Count: paste or type count rows for each counted SKU using the CSV box or use the printable table below for paper counts.
  3. Reconcile: use the variance prompts to investigate and assign follow-up actions.

Printable count sheet — copy the HTML table below into a simple page to print for on-floor counting:

<table border=1 cellpadding=6 style=border-collapse:collapse;width:100%> <thead><tr><th>SKU</th><th>Description</th><th>Location</th><th>Expected Qty</th><th>Counted Qty</th><th>Variance</th><th>Notes</th></tr></thead><tbody><tr><td> </td><td> </td><td> </td><td> </td><td> </td><td> </td><td> </td></tr><!-- Copy additional rows as needed --></tbody></table>

Quick heuristic (starter): high-velocity SKUs — count weekly or twice weekly; medium — weekly to biweekly; low — monthly to quarterly. Adjust frequencies based on observed variance, cost impact, and business risk.

e.g. Main Kitchen Walk-in, Dry Storage, Bar, Satellite Freezer
Estimate to help plan sample sizes (optional).
Typical starting point: 20 (percent). Increase for higher risk or value.
Typical starting point: 10 (percent).
Typical starting point: 5 (percent).
Use your currency value to mark SKUs as high-value. Example: enter 10 to treat items costing $10+ as high-value.
Choose how you'll select SKUs to include this cycle. ABC is usually best for targeted accuracy.
Pick a starting profile. Use variance history to move toward more or less frequent counts.
Paste one row per counted SKU (no header): SKU,Description,Location,ExpectedQty,CountedQty,CostPerUnit. Example row: 1234,Tomato 1kg,Walk-in,50,48,2.50
Percent difference between expected and counted that should trigger follow-up.
Record root cause, assigned owner, and target completion date for follow-up.
Person responsible for investigating and closing this variance.
YYYY-MM-DD or natural language like 'in 2 weeks' for your notes.
Short instructions or reminders for counters (e.g., count opened cases separately).
Copy this HTML into a minimal page or email to produce paper count sheets.
