It contains a per-guest costing worksheet, tiered package examples and minimums, a checklist of common add-ons and fees, a sample professional proposal layout, and recommended terms (deposit, cancellation, payment). Use it to price consistently, communicate clearly with clients, and protect margin as you scale.

How to use this template

  1. Gather event inputs: guest count, menu items, service style (drop-off, buffet, plated), date/time/location, setup/cleanup needs, rentals required, and client margin target.
  2. Complete the Costing Worksheet for each menu item (ingredient cost through to per-portion cost).
  3. Estimate labor and equipment per event and convert to a per-guest amount.
  4. Add delivery, gratuity/service charge, taxes, and contingency.
  5. Apply your margin/markup to reach the quote price and check against minimums or tiered pricing bands.
  6. Fill the Proposal layout, attach sample menu and terms, and send with clear deposit instructions and deadlines.

Section A — Per-item Costing (repeat for each menu item)

For accurate quotes, cost each menu item from ingredients to plated portion. Write conservative yields (account for trim and waste).

Repeat for appetizers, sides, desserts, and beverages. Include disposables (plates/utensils) where used.

Section B — Labor & Time

Estimate hours and hourly rates for prep, service and cleanup. Convert total labor cost to per-guest.

  • Event staff hours x wage = Service cost
  • Travel & setup time x wage = Travel/setup cost
  • Labor total ÷ guest count = Labor per guest

Section C — Equipment, Rentals & Consumables

List any rental chafers, trays, linen, heating equipment, or rented glassware. Include a per-event flat fee or amortize across expected monthly events.

Section D — Delivery, Parking & Logistics

Charge for distance/time, parking fees, and vehicle requirements. Consider a fixed delivery fee plus per-mile or per-minute surcharge for long drives.

Section E — Add-ons & Optional Charges

  • On-site chef or action station
  • Service gratuity / administrative fee (typical 10–20%)
  • Late-night service fee

Section F — Contingency, Taxes & Target Margin

Add a contingency (typically 3–8%) to protect against last-minute price increases or unforeseen costs. Decide whether taxes are applied to the food line or the total event price. Choose a margin target (expressed as markup or gross margin). Remember: markup and margin are different — margin = profit ÷ price; markup = profit ÷ cost.

Check that final price meets any event minimum and that total covers fixed event fees (e.g., staff minimums or minimum delivery).

Tiered Pricing & Minimums

Offer simple bands to make quoting faster and predictable. Example:

  • 25–49 guests: base price = calculated per-guest price
  • 50–99 guests: 5–8% volume discount (lower labor per guest)
  • 100+ guests: custom pricing (negotiate on a case-by-case basis)
  • Small events under 25 guests: apply minimum charge equal to 25 × per-guest price or a flat small-event fee

Tips to avoid underpricing
