Purpose: Use this form to capture the essential inputs for pricing a catering event, calculate costs, and save a proposal-ready breakdown that protects margins and clarifies scope.

This interactive tool helps teams: collect the client brief, estimate per-head costs, include staffing and equipment, and set deposit/payment/cancellation terms. Follow the calculation guidance below to produce a reliable proposed price.

Food cost total = guest_count × (per_head_food_cost + per_head_beverage_cost + add-on_per_head)

Labor cost = total_staff_hours × staff_hourly_rate

Delivery fee = delivery_flat_fee + (delivery_miles × delivery_fee_per_mile)

Subtotal = food cost total + labor cost + equipment_fee + delivery fee + other_fees

Apply overhead or incidentals: overhead_amount = subtotal × (overhead_percent / 100)

Target price before rounding = subtotal + overhead_amount

Proposed price = target_price_before_rounding / (1 - desired_margin_percent/100)

Company or individual ordering the event.
Enter event date or an expected date range. Use YYYY-MM-DD or human-friendly text.
Enter the expected number of guests. Use conservative estimate if unsure.
List menu items, courses, beverage options, and any dietary considerations or special requests.
Direct ingredient cost per guest. Exclude labor and overhead.
Include non-alcoholic and/or beverage package cost per guest as appropriate.
Enter the number of staff you plan to schedule for the event.
Total number of staff-hours (for example: 4 servers × 6 hours = 24).
Include wages + taxes/benefits proportionate to hour.
Covers rented equipment such as chafing dishes, linens, china, or venue fees.
If you charge per mile in addition to flat fee.
Typical range: 5–15%. Applied to subtotal before margin.
Enter the gross margin you want on the final price (e.g., 25).
Examples: balance due 7 days before event; final invoice due on delivery.
Be explicit about deadlines, refunds, and non-refundable amounts.
State what is not included: service gratuity, venue staffing, decorations, sound, late-night charges, etc.
Use the calculation guidance above to compute this amount. This is the client-facing total you will quote.
After entering the proposed price, calculate approximate margin: (proposed_price_total - subtotal_with_overhead) / proposed_price_total × 100.
