Operating Rhythm Checklist — Make recurring meetings actually produce outcomes
This checklist helps you inspect any recurring meeting and fix common causes of wasted time.
- Clear purpose: Does the meeting have one sentence describing the outcome it exists to produce? If not, write it now.
- Right cadence: Is the frequency matched to the decision speed? (Daily for urgent ops, weekly for planning, monthly for strategy.)
- Defined inputs: Are required pre-read materials or metric snapshots prepared and shared ahead of time?
- Accepted duration: Is the time-box respected? If items routinely overflow, shorten the agenda or create sub-meetings.
- Role clarity: Who facilitates, who owns the agenda, and who records decisions and actions?
- Decision format: For each decision on the agenda, is there a recommended format (recommendation document, vote, or alignment) and an identified Decider?
- Action capture: Are actions recorded with an owner, due date, and expected outcome before the meeting ends?
- Review loop: Do you reserve 5 minutes to rate the meeting’s value and note one improvement for the next session?
Use this checklist to audit one meeting in 15 minutes and apply two small changes that can be tested for two cycles.
