Roles, Responsibilities & Quick Facilitation Checklist

Core roles

  • Huddle Leader — Sets cadence, enforces timebox, removes blockers that require escalation.
  • Facilitator — Runs the meeting, keeps discussion on track, reads actions back. This can be the same person as the Leader for small teams.
  • Data Owner — Ensures metrics are correct, explains anomalies, updates dashboard before the meeting.
  • Scribe — Records actions in the action tracker and ensures owners/dates are captured.
  • Improvement Owner(s) — Owns follow-up on assigned countermeasures or experiments.

Facilitation checklist (use before and during the meeting)

  1. Before: Verify metrics are updated and visualizations load in under 30s.
  2. Before: Identify any known issues to call out so the meeting stays focused.
  3. Start: State timebox and goal for today’s huddle.
  4. During: Only discuss items that require team action; table longer investigations for the weekly huddle or a separate A3 session.
  5. During: For every issue, capture an owner, due date, and a clear verification trigger (how will we know it’s done?).
  6. End: Read actions aloud and confirm the owner accepts the assignment.

Simple acceptance definition for actions

Every action should answer: who, what, when, how will we verify. If you can’t state the verification in one sentence, refine the action until you can.
