Huddle Setup & Facilitation Checklist (use before each huddle)

Quick checklist the facilitator and scribe can run through in the five minutes before the huddle begins.

  • Room & board ready: Visual board or dashboard updated with latest values.
  • Roles confirmed: Facilitator, scribe, metric owners present or reachable.
  • Action log open: Last meeting actions visible and highlighted in priority order.
  • Top metrics pre-selected: 8–12 for daily; 2–3 deep-dive candidates flagged for weekly.
  • Timer set: Facilitation timer visible to enforce timeboxing.
  • Escalation path ready: Who to call if a barrier needs leadership support this shift?
  • Materials: marker, sticky cards (if physical), device or spreadsheet (if digital).
  • Start on time: Begin even if some people are late—short meetings reward punctuality.

During the huddle, use this short facilitator checklist:

  • Start with a 15-second safety or priority statement.
  • Review actions first—only exceptions noted; close or escalate the rest.
  • For each metric: state value, owner, quick decision (no action / countermeasure / escalate).
  • Keep language specific: avoid vague phrases like “we’ll look into it.”
  • End by confirming top two commitments for the shift and who owns them.
