Learning Rituals & Feedback Loops — Practical Playbook (Checklist)

Use this checklist to introduce, run, or refine the most repeatable learning rituals. Pick one or two to start.

Quick rituals

  • Ticket-close capture: Add a 1–3 sentence field: what went well, what tripped us up, and one suggested fix. Owner: ticket resolver.
  • Micro-retro (15 minutes): After each delivery or shift, ask: What worked? What surprised us? One action. Owner: rotating facilitator.
  • Weekly learning huddle (30–45 minutes): Review 3 prioritized captures, choose experiments, and assign owners. Owner: learning steward.
  • Monthly cross-team showcase (30–60 minutes): Teams share 1 successful experiment and 1 learning. Invite question time. Owner: community coordinator.

Adoption practices (bake-in)

  • Standard work update: When an experiment succeeds, update the related checklist, onboarding item, or SOP within 2 weeks.
  • Onboarding snippet: Add 1–2 lessons learned to the onboarding checklist for new hires within the relevant role.
  • Practice owner: Assign a person to shepherd each new practice for the first 6 weeks.

Templates & scripts

  • Sensemaking agenda (30–45 min): 5 min recap of captures, 15 min root-cause mapping, 15 min experiment design, 5–10 min decisions & owners.
  • Experiment brief (one-pager): Hypothesis, metric(s), owner, timeline (2–6 weeks), success criteria, rollout plan.
  • Learning summary (2 lines + link): What changed, why it worked/didn't, and where the new practice lives.

Use simple tools (shared doc, a dedicated channel, or a light-weight LMS). The ritual’s success depends more on cadence and clear ownership than on tooling.
