Agenda Patterns & Facilitator Scripts (copy-ready)
Three reliable meeting patterns you can copy into calendar invites. Each pattern includes timeboxes, participant roles, and short facilitator scripts to keep things focused.
1) Daily Stand-up — 15 minutes
When to use: fast sync for small teams to surface blockers and align priorities.
- Roles: facilitator/timekeeper (rotates), participants
- Agenda:
- Purpose (15s): Quick seed — "Check alignment and surface blockers."
- Round-robin updates (10 min): Each person answers: "What I did since last time, what I'm doing next, blockers" (30-90s each).
- Blocker parking (3 min): Identify items requiring deep dive; assign owners and times outside the stand-up.
- Close (30s): Confirm any immediate actions and finish on time.
- Facilitator script snippets: "We'll go clockwise; please keep updates to the quick template. If something needs more time, we'll park it and take it offline with an owner and time."
2) Decision Meeting — 45–60 minutes
When to use: decide between options where alignment and clarity matter (e.g., vendor selection, resource changes).
- Roles: facilitator, decision owner (who will sign off), scribe, subject-matter contributors
- Agenda:
- Purpose & desired outcome (2 min): e.g., "Select vendor and agree next steps."
- Context summary (5–8 min): brief facts, pre-read highlights.
- Options & pros/cons (15–20 min): structured discussion—one option at a time.
- Decision protocol and decision (10–15 min): use a named protocol (see Decision Protocols reference).
- Actions & owners (5 min): record immediate next steps, owners, deadlines; confirm communication plan.
- Facilitator script snippets: "We'll spend five minutes on context and then discuss each option for five minutes. After that we'll pick a decision method—does anyone object to using consent?"
3) Planning + Retrospective — 90 minutes
When to use: sprint planning, quarterly planning, or retrospective that needs structured reflection and a small number of experiments to try next.
- Roles: facilitator, timekeeper, product/owner, note-capture
- Agenda:
- Purpose & norms (3 min): "Plan priorities and agree three experiments to improve our flow."
- Data review (15 min): metrics, outcomes, evidence (keep to highlights).
- What worked / what didn't (20 min): silent brainstorm → cluster themes → quick dot-vote.
- Decide experiments (25 min): propose changes, agree owners and measures.
- Plan (20 min): assign backlog items, set dates; confirm who will communicate what and when.
- Facilitator script snippets: "Let's spend five minutes silently writing ideas, then we'll group them. Aim to leave with no more than three experiments we can try in the next cycle."
Copy tips
Put the single-sentence purpose at the top of the invite. Attach required pre-reads and label optional materials. Where possible, name the decision owner in the invite and include the chosen decision protocol so participants arrive prepared.
