Practical agenda templates — copy, paste, run

Six patterns you can drop into an invite. Each template lists purpose, prework, timebox, roles, and desired outcome.

1. Daily Standup (15 minutes)

  • Purpose: Synchronize short-term progress and surface blockers.
  • Prework: Update your ticket board or status note.
  • Agenda:
    1. Quick check-in (1 min) — facilitator
    2. Round-robin updates (10 min) — each person: yesterday/today/blocker
    3. Blocker parking & action assignment (3 min) — scribe agrees owners
  • Outcome: Blockers assigned; next 24h focus clear.

2. Tactical / Weekly Team (45 minutes)

  • Purpose: Coordinate work, resolve short-term impediments, and confirm commitments.
  • Prework: Share top 3 risks or agenda items 24hr before.
  • Agenda:
    1. Opening and priority check (5 min)
    2. Top issues deep-dive (25 min) — timeboxed problem solving
    3. Decisions & actions (10 min) — record owners and deadlines
    4. Close & review next meeting focus (5 min)
  • Outcome: Decisions recorded; actions assigned.

3. Decision Meeting (60–90 minutes)

  • Purpose: Reach a clear decision with supporting rationale.
  • Prework: Distribute a 1-page briefing with options and analysis 48hr before.
  • Agenda:
    1. Read/recap the brief (10 min)
    2. Clarifying questions (15 min)
    3. Structured discussion using a decision protocol (30–45 min)
    4. Confirm decision & next steps (10–15 min)
  • Outcome: Decision, rationale summary, and action owners.

4. Brainstorm / Ideation (60 minutes)

  • Purpose: Generate many options and surface promising directions.
  • Prework: Share framing question and constraints.
  • Agenda:
    1. Warm-up & norms (5 min)
    2. Divergent idea generation (20–25 min) — silent brainstorming or rounds
    3. Cluster & evaluate (20 min)
    4. Choose next experiments (10–15 min)
  • Outcome: 3 testable ideas with owners.

5. Retrospective (60 minutes)

  • Purpose: Reflect on recent work to identify improvements.
  • Prework: Ask participants to bring 1 thing that went well and 1 to improve.
  • Agenda:
    1. Set the stage (5 min)
    2. Gather data (15 min)
    3. Generate insights (20 min)
    4. Decide on experiments (15 min)
    5. Close with commitment (5 min)
  • Outcome: 1–2 improvement experiments with owners and dates.

6. One-on-One (30 minutes)

  • Purpose: Support development, unblock issues, align priorities.
  • Prework: Both participants prepare 1–2 topics.
  • Agenda:
    1. Quick personal check-in (5 min)
    2. Topics & support needs (20 min)
    3. Action check & schedule (5 min)
  • Outcome: Clear support actions and follow-up date.

Use these templates as starting points. Tailor timeboxes and prework to your team’s context, then keep the outcome front-and-center in the invite.
