Facilitator scripts — short, inclusive language you can use now
Copy these lines to guide flow, reduce dominance, and keep discussions outcome-focused. Keep language brief and neutral.
Opening (first 60 seconds)
"Welcome — our purpose today is [one-line outcome]. We'll follow a short agenda and timebox each item. I'm facilitating and [Name] will capture decisions and actions. If you need to add something off-agenda, drop it in the parking lot and we'll review if time allows."
Clarifying questions (to move from confusion to shared context)
"Quick clarification: does everyone have the same understanding of [term/constraint]? If not, let's take 2 minutes to align."
Managing time and dominance
"We’re at 5 minutes on this item. To make sure others can speak, can we summarize comments in one sentence each?"
Or: "I want to hear a few other perspectives — let's go clockwise for two minutes each."
When conversation stalls
"We’ve surfaced several useful directions. To avoid going in circles, can we agree to capture them and either (A) pick one to test, or (B) assign a small working group to prototype? Which do people prefer?"
Capturing decisions and actions
"To confirm: we’ve decided [decision]. Action: [name] will do [task] by [date]. Any objections? If no objections, that’s confirmed."
Closing
"Before we close, quick round: what’s one thing you’ll do before our next meeting?"
"Thanks — decisions and actions will be shared within 24 hours. If anything needs follow-up, ping the owner."
Inclusion prompts
- "I'd like to hear from someone who hasn't spoken yet."
- "Does anyone have a different view or an important caveat?"
- "If you're on the call but not the owner of this topic, what would you need to support this decision?"
Use short scripts like these to reduce friction and keep the meeting aligned to outcomes. Encourage rotating facilitation so the practice scales across the team.
